In Texas, if a county sheriff’s department handled the incident, you’ll need to file what’s called an open records request to obtain a copy of the report. Every county has its own website, but the steps you’ll follow are generally the same across the board.

Here’s how to request a report from a county sheriff’s office, using Harris County as an example.

Step 1: Go to the Public Records Center

Start by heading to the Harris County Sheriff’s Office – Public Records Center online.

Once you’re on the website, look for the button or tab that says “Submit an open records request.”

From there, you’ll either log in or create an account. This account allows you to fill out the request form, submit it, and check the status—all in one place.

Step 2: Fill Out the Request Form

After logging in, you’ll see a form that asks for several pieces of information to help the sheriff’s office locate the report. Here’s what they’ll ask for:

Record Details

Next, you’ll need to give a few details about the kind of report you’re requesting. This helps the department know exactly what to search for:

  • Type of Records: Select the kind of record you’re asking for—like a police or incident report.
  • Type of Incident: Briefly describe what happened (e.g., truck accident, assault, theft).

The more accurate this section is, the easier it’ll be for staff to locate the correct file.

Report Number

You’ll have to input the report number you were given. Be careful to enter it exactly as it appears—mistakes here can delay your request or return no results.

Date of the Incident

Provide the exact date the incident occurred. 

People Involved

You’ll need to include the following for each person involved:

  • Last name
  • First name
  • Date of birth

This helps ensure the correct report is pulled and that sensitive info isn’t released to the wrong person.

Location of the Incident

Be as precise as possible here. You’ll need to list the:

  • Street address
  • City
  • State

If you’re unsure of the exact address, you may need to contact the sheriff’s office or check any documents you were given, as the form requires a specific location.

How You Want the Report Delivered

You’ll have several options to choose from for how you’d like to receive the records:

  • By email (electronic delivery)
  • In person (inspect at the office)
  • Pick-up copy
  • Mailed copy

Pick the option that’s most convenient for you.

Step 3: Hit Submit

Once all the fields are filled in, go ahead and click “Submit.” After that, you’ll get a confirmation with a tracking number. Keep that number—you’ll need it to follow up or check the status of your request.

In most cases, reports are processed within ten business days. If the report contains restricted or private details, some information may be withheld or blacked out before it’s shared.
